Start with the scope
Agree which business activities, locations and time period will be reviewed. Identify who can answer questions about customer onboarding, monitoring, reporting and records. A clear scope helps everyone prepare the right evidence.
Build a document index
List your current policies, risk assessment, training records and previous findings. Record the owner and last update for each item. Keep sensitive records in the agreed secure location rather than attaching them to an initial enquiry.
Make findings actionable
For each improvement, identify an owner, an intended outcome and supporting evidence of completion. Arrange a follow-up discussion to resolve questions and check progress.
These are practical preparation suggestions, not a statement of legal requirements. See FINTRAC’s official guidance for Canadian regulatory information.
